How to Build a CapEx Forecast for a Rental Property
A good CapEx forecast is a set of expected timing windows with costs attached. Fixed replacement dates are a poor substitute. Here is how to build one property by property.
Step 1: Inventory the major systems
List every major system: roof, HVAC, water heater, appliances, plumbing, electrical, exterior. For each, capture what you know: material, age, condition, and any documented repairs.
Step 2: Estimate expected life and current position
Each system type has a reference lifecycle range. Compare a system's age to that range to find its lifecycle position: early, mid, late, or past expected life. Condition and documented defects shift the position.
Step 3: Model a replacement window, not a date
Do not commit to an exact replacement year. Use a window covering the earliest, central, and latest plausible timing, which reflects uncertainty. A 22-year-old architectural shingle roof has a modeled replacement window of several years.
Step 4: Attach today's cost, then inflate
Estimate the current replacement cost. Then inflate it forward at a cost-inflation assumption to the replacement window. That gives a modeled future cost in future dollars.
Step 5: Roll up to 1, 3, and 5-year exposure
Sum the inflated costs of replacements whose windows fall in each horizon. That is your modeled CapEx exposure: a defensible range you can plan and fund against.
Step 6: Bring it back to reserves
Compare exposure to your current cash. The peak cumulative shortfall across your hold period sets your target reserve. That shortfall is the gap between what you will need and what your ongoing contributions will provide.
The bottom line
A CapEx forecast built from lifecycle position and timing windows is far more useful than a fixed replacement schedule. It updates as your properties change.
FAQ
A tool that estimates future capital expenditures from system condition and lifecycle. FiveFourThree builds this from property-specific data rather than generic assumptions.
It is a modeled range. The value is in being directionally right and property-specific, so you can fund the right things at the right time.
